Connect and Set Up a Printer in macOS
1. Initial Check:
Ensure your printer is on the same Wi-Fi network as your Mac or connected via a USB cable. You may not need additional drivers.
In the app you are printing from, click File > Print. If your printer is listed, it’s ready to use.
If it’s not listed, click the Printer menu and select it from the Nearby Printers list, or go to Printers & Scanners preferences to add it.
2. If the Printer is Not Available:
For USB Connection or Non-AirPrint Printers:Use Spotlight to search for and open Software Update.
Ensure macOS is up to date or install any available updates.
3. Connect the Printer:
Wi-Fi Connection with Touchscreen Control Panel:
Open the Setup, Network, or Wireless settings menu.
Select Wireless Setup Wizard and follow the instructions to choose the network and enter the password.
Wi-Fi Connection without Touchscreen Control Panel:
Press and hold the Wireless button  for five seconds or until the wireless light starts flashing.
Within two minutes, press and hold the WPS (Wi-Fi Protected Setup) button on the router until the connection process begins. The printer’s wireless light will stop flashing when the connection is complete.
Wi-Fi Connection for Specific Models (HP DeskJet 6000/6400, ENVY 6000/6400, Tango):
Press and hold the Wi-Fi button  and the Power button on the back of the printer for five seconds until the blue bar flashes.
Within two minutes, press and hold the WPS button on the router until the connection process begins. The blue bar will stop flashing when the connection completes.
Wired (Ethernet) Network Connection:
Connect the network cable to the printer’s Ethernet port and to an available port  on the router or access point. The green light at the printer port should be steady, and the orange activity light should blink.
USB Connection:
Connect the USB cable to the port on the rear of the printer and  to a port on the Mac. Install any new software if prompted.
4. Final Setup:
Click the Spotlight icon   and search for Printers & Scanners.
If your printer is not listed, click Add Printer, Scanner, or Fax or the Add button , then follow the instructions to complete the setup.
